How Rivington Netball Club collects, uses and looks after your personal information.

1. Who we are

Rivington Netball Club (“RNC”, “we”, “us”) is a volunteer-run netball club based in Bolton, affiliated to England Netball. Our committee acts as the data controller for the information we collect from members, parents and visitors to this website.

2. What information we collect

We collect personal information when you:

  • Register a player. Player name, date of birth, school year, parent or guardian name, parent contact details, emergency contact, medical or accessibility needs you choose to share, England Netball affiliation details.
  • Use the contact form or “Join us” form on this website. Your name, email, phone (if you give it), and the message or enquiry you send.
  • Email us directly. The contents of your email and any attachments.
  • Pay subs or match fees. Records of payments, kept for the period required for our accounts.
  • Visit this website. Limited technical information may be logged by our hosting provider (such as IP address, browser, time of visit) for security and performance reasons. Third-party content embedded on the site (Facebook page plugin, Instagram embed, Google Fonts) may set cookies and process limited data, see our Cookie Policy for details.

3. Why we use it

We use this information to:

  • Run the club: arrange training, fixtures, transport and team selection.
  • Communicate with members and parents about sessions, fixtures, fees and changes.
  • Affiliate players to England Netball and enter teams in leagues.
  • Keep players safe: emergency contacts, medical needs, safeguarding records.
  • Manage payments and our accounts.
  • Answer enquiries from prospective members.

4. Legal basis for processing

Under UK GDPR we rely on the following legal bases:

  • Contract: to deliver the club membership and coaching that members have signed up for.
  • Legitimate interests: to run the club efficiently, communicate with you and protect player welfare.
  • Legal obligation: for safeguarding, accident reporting and accounting.
  • Consent: for any marketing emails (you can withdraw at any time) and for the use of player photographs (covered separately by our Photographic / Filming Policy).

5. Who we share it with

We share personal information only where necessary, and only with:

  • England Netball: for player affiliation, league entry and safeguarding referrals.
  • Leagues we play in: Bolton Ladies, Bury Junior, Greater Manchester County Junior, for fixtures and registrations.
  • Coaches and team coordinators within the club, on a need-to-know basis.
  • Hosting and email providers we use to run the website and the club inbox.
  • The authorities: police, social services, NHS, where there is a safeguarding or legal duty to do so.

We do not sell personal information, and we do not share it with advertisers.

6. How long we keep it

We keep personal information only for as long as we need it:

  • Active member records: while the player is a member, plus one season after they leave.
  • Accident, incident and safeguarding records: as required by England Netball and statutory retention rules (often a number of years beyond the child reaching 18).
  • Financial records: six years, in line with HMRC requirements.
  • Enquiries from prospective members: up to 12 months unless you ask us to delete them sooner.

7. Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal information we hold about you (a “subject access request”).
  • Ask us to correct anything inaccurate.
  • Ask us to delete your information, where we no longer need it.
  • Restrict or object to how we use it.
  • Withdraw consent where we relied on it.
  • Complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

8. Children’s data

Most of our members are under 18. Personal information about a child is provided by a parent or guardian on registration. We treat children’s data with extra care and limit access to coaches and committee members on a need-to-know basis. Photography of children is governed by our separate Photographic / Filming Policy, which requires written parental consent.

9. Changes to this notice

We will update this notice when our practices change or when the law requires it. The “last updated” date at the top of this page tells you when it was last reviewed.
